Who we are

Evergreen Video Productions Ltd (“Evergreen”, “we”, “us”) is a video production company registered in England and Wales, company number 15797728, with its registered office at 56 Oakway, Woking, Surrey, GU21 8TR. We are the data controller for the personal information described in this notice. You can contact us about anything in it through the contact page or by post to the registered office.

What we collect and why

Contact form. When you send an enquiry we collect your first and last name, email address, the type of project you select and the message you write. We use this to reply to you, discuss your project and, if you go ahead, to plan and deliver the work. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries.

Clients. If you book us, we will also hold the details needed to carry out the work and to invoice you, such as dates, venue and billing address. We keep these for as long as needed to fulfil the contract and then for the period HMRC requires us to keep business records (normally six years).

People in our films. We film people at weddings, events and commercial shoots. Footage is processed on the instructions of our client. Where we use a film or still in our own portfolio, on this site or on social media, we do so with the client’s permission and will remove it on request.

This website runs on Wix, which sets essential cookies to keep it secure and working. With your consent, given through the cookie banner, Wix analytics cookies also tell us how the site is used. You can change your choice at any time.

Who we share it with

Contact form submissions are delivered to us through Wix, which hosts this website and stores submissions on our behalf. We use email and cloud storage providers to run the business. We do not sell or rent your information and we do not share it with anyone else unless the law requires it. Some of our providers may store data outside the UK; where they do, transfers are covered by the UK’s adequacy decisions or standard contractual clauses.

How long we keep it

Enquiries that do not lead to a booking are deleted within 12 months. Client records are kept for six years after the project ends for accounting purposes. Raw footage and project files are kept for as long as we consider necessary to provide re-edits and then deleted.
